Urgent ANSI Pump Replacement Parts RFQ Checklist
An urgent message is useful only when it contains enough evidence to identify, verify, quote and ship the correct part. This checklist organizes that evidence in one enquiry.

When a process pump is down, the fastest message is not always the fastest route to a correct quotation. “Need impeller urgently” leaves the supplier to ask for the pump size, part number, material, impeller diameter, quantity, destination and required documents. Collecting those fields at the beginning can save an entire clarification cycle.
Use this checklist for ANSI process pump parts such as casings, impellers, covers, adapters, frames, bearing housings, shafts, sleeves and related components. If the record holds an OEM number rather than a part name, the ANSI pump parts cross-reference maps 223 OEM numbers to YSM references by frame and size.
1. Mark the Operational Priority
State whether the equipment is:
- stopped now;
- running with reduced capacity;
- running with a temporary repair;
- planned for the next shutdown;
- being stocked as a critical spare.
Add the latest acceptable arrival date and the delivery destination. “Urgent” without a date, location and required shipping scope cannot be planned accurately.
2. Identify the Pump
Provide:
- manufacturer and model;
- pump size and frame;
- serial, order or job number;
- customer equipment tag;
- pump nameplate photograph;
- general arrangement and sectional drawing;
- previous purchase record if available.
If the original plate is missing, say so clearly and move to drawings, dimensions, photographs and sample review instead of guessing the model. Which pump nameplate data fields to capture, and what the plate cannot confirm on its own, are set out in the identification guide.
3. Identify the Required Part
State the part name, item number, part number, quantity and whether mating components are also required. Mark the part on a sectional drawing. For rotating parts, include the related shaft, key, sleeve, nut and balance requirements when applicable.
Replacement enquiries should be reviewed against the exact size, frame or group, revision, part reference, geometry and authorized drawing evidence. A dimensional standard alone does not establish internal interchangeability across brands.
4. Confirm Material and Construction
Provide the specified material grade from the bill of materials, purchase record or verified analysis. Do not identify material only from appearance.
If the original material is unknown, include the pumped liquid, concentration, temperature, contaminants and failure history, but treat any new material route as an engineering decision rather than an automatic substitution.
5. Provide Critical Dimensions
Depending on the part, critical dimensions may include:
- bore and shaft diameter;
- keyway width and depth;
- register and pilot fits;
- bolt circle and hole size;
- flange dimensions;
- impeller outside diameter and width;
- wear surfaces and clearances;
- overall length and thread specification.
Agree which dimensions control acceptance. Photographs with a ruler can support identification, but calibrated measurements or an approved drawing should control manufacture and inspection.
6. Describe the Failure
State why the part is being replaced. Include photographs and observations of cracking, erosion, corrosion, rubbing, cavitation damage, broken vanes, shaft wear, bearing damage or seal leakage. Repeated failures should trigger a root-cause review; supplying the same part again may restore operation without correcting the cause.
7. List Required Inspection Documents
Before quotation, state whether the order requires any of the following:
- material certificate;
- dimensional inspection report;
- dynamic-balance report for the impeller;
- casing pressure-test record;
- fit-up or assembly record;
- coating or preservation requirement;
- packing and marking standard;
- third-party inspection or witness point.
Document availability, format and acceptance criteria should be agreed before the order.
8. Include Commercial and Logistics Data
- required quantity;
- incoterm or requested delivery scope;
- delivery city, country and postal code;
- requested ship date and latest acceptable arrival;
- packaging or export-marking requirement;
- purchasing and technical contacts;
- quotation currency and validity requirement if applicable.

Safety Before Inspection
Do not remove guards, open the casing or handle the pump solely to obtain RFQ information unless the site’s authorized isolation procedure has been completed. Pump systems can retain electrical, mechanical, hydraulic, pneumatic, chemical and thermal energy. Inspection and maintenance must be performed by trained personnel under the facility’s safety procedures.
