From duty data to quotation

Industrial Pump Review Workflow

Submit the operating duty

Provide flow, head, liquid, concentration, temperature, suction conditions, solids, viscosity and operating schedule.

Check data completeness

Missing or conflicting inputs are clarified before a pump family, size or material is discussed.

Review the pump family

General-purpose, low-flow, self-priming and heavy-duty routes are compared against the application rather than selected from a single maximum value.

Define the configuration

Size, material, seal, shaft, motor, base and required documents are reviewed as one supply scope.

Issue a reviewed quotation

The quotation identifies the proposed configuration, scope, exclusions, commercial conditions and the technical items still requiring confirmation.

Control order documents

Applicable drawings, curves, inspection points and document revisions are aligned with the confirmed order scope before release.

Workflow FAQ

Why is complete duty data required before selection?

A pump family can cover many sizes and operating points. Complete data reduces the risk of choosing from a catalogue maximum or from an existing model that was not suitable for the service.

When are curves and drawings reviewed?

They are matched after the proposed family, size, speed and intended use are known. Order-specific documents may require a separate approval stage.

Does a part number alone confirm replacement fit?

No. Identity, revision, dimensions, material and service conditions may also need review.

How are inspection or certification requests handled?

State the required standard, document and witness scope before quotation. Availability must be confirmed for the relevant order and legal entity.

Commercial Terms

Standard terms for pumps and replacement parts supplied by YSM Pumps (Jinan Yingsiman Machinery Co., Ltd.). Project-specific terms are confirmed in the quotation and sales contract.

Lead time	Replacement parts: 1 week · Bare wet end (casing, impeller, cover, seal chamber assembly): 2 weeks · Complete pump: 4 weeks, from receipt of deposit and approved drawings. Confirmed per order in the quotation.
Warranty	12 months from date of shipment against defects in materials and workmanship, when installed and operated within the reviewed duty. Wear parts and damage from operation outside the reviewed duty, dry running, or incorrect installation are excluded.
Payment	30% deposit by T/T within 7 days of order confirmation; 70% balance by T/T before shipment. Irrevocable L/C at sight is also accepted. Commercial invoice and packing list issued on shipment.
Delivery terms	Any Incoterms 2020 term, as agreed in the quotation: EXW (Zibo factory), FOB / FCA Qingdao, CFR / CIF / CIP to the destination port, or DAP / DDP to site. Sea freight is standard; air freight for urgent parts on request.
Packing	Export-grade packing: non-fumigation wooden cases, moisture protection, flange covers, and marking to the buyer’s instructions.
Late delivery	If shipment is delayed for reasons attributable to YSM (force majeure excluded), YSM compensates 0.5% of the contract value per week of delay, capped at 5% of the contract value.
Title and risk	Title passes on delivery and remains with YSM until payment is received in full. Risk passes according to the agreed Incoterm.
Inspection	Before shipment: material verification by spectrometer / chemical analysis against the ordered grade, hydrostatic test of pressure-containing parts, dynamic balancing of impellers, and performance testing of complete pumps on the factory test bench (test curve supplied on request). Customer witness testing at the factory is accepted; third-party inspection by SGS, BV or TÜV is accepted and arranged with the buyer at order.
Spare parts	Common wet-end spares (impellers, casings, covers, seal chambers, shafts and sleeves) are held in stock, mainly in CF8M (316SS) and CD4MCu; other materials to order. Availability and lead time are confirmed at quotation.
Cancellation	YSM may cancel an order if payment is overdue, or if buyer-caused delays exceed 10 weeks; work completed to that date remains payable. Buyer cancellation after production start is settled on the same basis.
Compliance	Both parties confirm the transaction complies with applicable trade-control, tax and anti-bribery law. YSM is an independent manufacturer; OEM names are used for identification only.
